Add a New Child via LENA Pro Client Manager

A new Child record can be added via Client Manager at any time prior to his file upload.  When you add a child via Client Manager, all required and all optional/customizable fields are available for use.  Once the Child record is added, you can pre-assign a DLP to that child.

(Alternatively, a Child record can be added "on the fly," during his first file transfer.  That method permits entry of name, DOB, and gender only; all other information must be edited later.)

This article covers the first method, adding a new Child record before uploading her first file.

1. In Client Manager, beside the Child record table, click Add.

...but in order to illustrate more options, we'll use a database with existing Child and Group records.  

(Remember:  Unselect any open Child record to return to the neutral screen and see the Add button.)

Nifty LENA Tip:

If you are adding a batch of new Child records that belong to the same Group, save time by preselecting the Group.

  1. Select the Group before clicking the Add button in Step 1.
  2. Group assignment will be pre-filled for all children entered while that Group is selected.

2. Fill in Child Information.

2.1. Required fields are in red:

First Name

  • The name can be any combination of letters, numbers, and symbols to represent the child.  
  • If you do not use the optional Last Name field, the children will be sorted alphabetically by First Name in Client Manager.

Birth Date

  • Be certain to enter the correct birth date - not a placeholder or a guess!  Double check the month/day order using the drop down calendar.
  • LENA processes recordings based on the birth date entered, with algorithms specific to the child's age in months.
  • Even if you correct the birth date later, any file already processed will have generated incorrect data. The audio must be manually reprocessed to update the data.
  • "If the date is wrong, the data are wrong."

Gender

  • Check the box.

2.2. Additional optional fields:

Last Name

  • The name can be any combination of letters, numbers, and symbols to represent the child.  
  • Client Manager will display the children alphabetically according to last name, then first name.  Children without last names will precede those with last name information.

ID

  • You can add a custom ID or let LENA fill it in for you.  A custom ID can be any combination of letters, numbers, and symbols.
  • Tip:  If you will be exporting the ITS files for statistical analysis, they will not contain first or last names, but they will include the ID field.  Strategically planning your ID codes now can pay dividends later if you'll be sorting and filtering aggregated ITS file data.

Notes

  • Add any notes you wish to add about the child - preferences, scheduling information, days to avoid recording, etc.

Client / Group

  • You can assign the Child to an existing Group now, later, or never.
  • To assign the Child to a Group now:
  1. Click the ellipses button.
  2. Select the correct Group in the list provided.
  3. Click OK.

4. From here you can:

  • Add another Child record
  • Work with existing Child Information (edit, delete, or inactivate a record, or assign a DLP)
  • Manage Groups
  • Navigate to LENA Reports for any children whose recordings have processed.
