Tips for Organizing Your Participant List
Gross filtering can be accomplished using Group assignments or by deactivating certain Child records, but currently there is no way to filter on specific columns of child information in the LENA Pro Client Manager.
The information below is designed to help you plan your data entry conventions for large numbers of participants through an understanding of Client Manager's default sorting order, as well as what information is displayed in some of the LENA exports you may plan to use.
Understand the sorting order in Client Manager, and use consistent conventions.
In Client Manager, Child records are sorted first by last name, then first name.
If no last name is entered for a Child, then the First Name field (required) is substituted for sorting purposes. Blank last names are not grouped together.
Ascending order is defined as follows:
- spaces
- symbols
- digits
- letters
The image below illustrates how these sorting rules interact. The text boxes illustrate common errors that can make finding your participants cumbersome.
Understand which fields are exported.
The CSV export will include all Client Manager demographic data fields.
ADEX output from the ITS export will not include First Name or Last Name. Each child is identified only by Child ID and Child Key.
- If you will be analyzing ADEX output and will want to filter the data by Child (beyond the Group filter), plan ahead by customizing the Child ID field. Often, entering a custom Child ID that reflects one or both of the Name fields is a good solution.
- If customizing the IDs is not an option, you can add a Name column to your ADEX output in Excel, and use the VLOOKUP formula in conjunction with your CSV-Daily export to fill in the Name values based on the Child Key.
