Import and assign LENA Collector files in LENA Pro
Follow these steps to import files from a LENA Flash Drive received from the remote LENA Collector site.
Before you begin:
- Make sure you are using LENA Pro version 3.4.0 or later.
- Make sure you have enabled DataLink on your LENA Pro software.
2. Insert the LENA Flash Drive into your computer's USB port.
3. Data transfer starts automatically.
Transfer takes a couple of minutes per file. Status bars show transfer progress. One "file" corresponds to one "child," who may have one or more recording files.
4. Assign each file when prompted.
Options for handling typical import scenarios are described below. Handling exceptions is covered elsewhere.
Pro Tip: If your Collector provides a list of upload date and time, DLP, child name, and birth date for each file, you can cross check each assignment. The filename, displayed at the top of the import window, conveys the file's upload date, time, and DLP as follows:
YYYYMMDD_HHMMSS_[DLP]
Option 1: Create a new child in Pro based on the original child record from Collector.
Scenario: Child originated on Collector computer and does not yet exist on Pro computer.
LENA Pro does not recognize the child, and so prompts the user to Create a new child record using the information below, which it reads from the Flash Drive file.
- Double check birth date and gender against your records, changing now as needed - before the file is processed. You can also edit the name if needed.
- Select the appropriate existing Group affiliation for this child (as shown), or to add a completely new Group in-line with the addition of the child record. If no Group affiliation is required, leave the default "Do not assign a client / group for this child" radio button selected.
- Click OK.
Option 2: Associate the child in Collector with an existing child in Pro.
Scenario: Child has an original record on both the Collector computer and the Pro computer, and they have not yet been linked.
This scenario may occur the first time a child's files arrive via Flash Drive if, for example:
- you are an established LENA Pro user transitioning to use of LENA Collector for convenience, so some participants already exist in your Pro Client Manager
- your participants' initial evaluation data are uploaded directly to the LENA Pro computer, but their follow-up recordings are collected off-site
- you have pre-entered all off-site participants into the LENA Pro Client Manager before adding any recording data (for data entry consistency, for example)
Again, LENA Pro does not recognize the child, and so the default prompt is to Create a new child record using the information below. However, doing so would create a duplicate instance of the same child on your Pro computer! You know a match already exists in Pro, so you'll override this prompt and teach LENA to associate the two records:
- Choose Associate this file with an existing child record from the list below.
- Highlight the correct child from the Pro Client Manager list.
- For future convenience, check the box to Use selection for remaining import from this child.
- Click OK.
Now the Collector child record is linked to the Pro child record. LENA will remember this association for subsequent files imported for this Collector child, as shown in the next scenario.
Option 3: Confirm an established association between a child's records in Collector and Pro.
Collector and Pro records have already been linked in a previous import.
- LENA Pro recognizes a previous association, highlights the child, and prompts you to Associate the Collector file with the correct existing Pro child.
- For future convenience, check the box to Use selection for remaining import from this child.
- Click OK.
6. The first file to uncompress begins processing.
Processing now occurs just as though the files had transferred directly from DLPs.
Processing typically takes 2-4 hours per file. Be sure your computer's power settings and Windows update settings will allow it to remain powered on for the duration of processing for all files.
