How to handle exceptions when assigning imported Collector files

The examples below illustrate less common import scenarios, including errors, uncertainty, and unneeded files.

Birth date is wrong in incoming Collector file information.

If the child doesn't already exist in Pro, choose Create a new child record and correct the birth date before clicking OK.  The child will be created with the correct date.  Contact your Collector site administrator to correct the date of birth on the Collector computer.

If the child does already have a record in Pro with the correct date of birth, as in the example below, Associate the file with the correct child from the Pro list.  The file will be processed with the correct date of birth.

The right choice here depends on what kind of data already exist for the child in Pro.

If you know that the child has no existing recordings in Pro:

  1. Choose Create a new child record.  
  2. Assign to a Group now, later, or not at all - your choice.
  3. After processing has finished, check to see whether the original child had completed any Developmental Snapshots.
  • If so, contact LENA Support for assistance reentering the Snapshot information according to the correct date of birth.
  • If not, you can delete that child with the wrong date of birth.

If you're not sure, or believe the child may have existing recordings in Pro:

  1. Choose Ask me again when LENA is restarted to temporarily set this file aside.
  2. Please contact LENA Support for help reprocessing the existing recordings in Pro.
  3. Once everything is corrected, Associate the Collector file with the Pro child so it can be processed with the correct age information.

Pro or Collector record has an error in the name.

Don't worry - mistyped names or IDs don't affect how a file is processed.  As long as the birth date is accurate, go ahead and Associate this file with the correct child from the Pro database.

Edit the child's name later for consistency.

Uncertainty.

A file may arrive with confusing or conflicting information.  You may need time to sort things out to be certain the file association and child information are correct.  

You can temporarily "pass" on a file's assignment by choosing Ask me again when LENA is restarted.

  • LENA will set the file aside so that you can continue assigning the rest of the files.
  • The next time you launch the software, you'll see this same prompt to select the appropriate child for the file.

Tip: Consider taking a screen shot first (Alt-PrintScrn) so that you'll have all of the details to work with when consulting with the Collector site.

Uncertainty.

File not needed.

The Flash Drive will contain all files uploaded to the Collector software since the last transfer.  The Collector site cannot pick and choose which files to send, so at times the set may include test recordings or data that will not be used.

You can always skip the file, as above, or create a temporary child that can later be deleted.  If the incoming recording data for a child are definitely not needed, select Discard this import file.  Do so judiciously - the files for that child may not be recoverable even by LENA Support staff.  

For safety, also uncheck "Use selection for remaining import from this child."
