Manually reprocess files after correcting a birth date

This method is used to manually reprocess a file under the following conditions:

  • LENA Pro or LENA Pro Pilot, and
  • the file was originally processed with the incorrect date of birth, and
  • the file was originally assigned to the correct child, and
  • the original .upl file is still available (i.e., audio has not been deleted)

This method does not work for reprocessing a misassigned file. It also does not apply to reprocessing for any reason in LENA Pro Grad.

Reprocessing files is an included support service for any LENA customer with an active technical assistance subscription. These DIY instructions are provided as a courtesy to customers who wish to reprocess their own files.  The instructions assume all LENA data are in the default storage location.

Note:  Any time you work within the underlying structure of a software system you run the risk of losing your data - be sure you have a backup.

1. Gather information.

  1. Export a CSV for all impacted children, for all dates.  
  2. Open using Excel or other spreadsheet application.
  3. Note the Child Key for each child whose date of birth is incorrect.
  4. Note the Filename, the in ProcessingFile column, for any file processed with the wrong date of birth.
    • If the birth date has already been corrected, any files processed after the correction do not need to be reprocessed.  
    • If you are unsure of which files were processed with the wrong age, compare the upload date and time (filename) with the date the correction was made.  
    • If it's still not clear, you can use the .its file to determine the date of birth used to process each file.

2. Correct the birth date as necessary.

Double-check using the drop-down menu, especially if your computer is set to a DD/MM/YYYY date format.

Click Save.

Click OK on the warning about needing to reprocess.

3. Create a temporary working copy of the .upl file.

Do NOT skip this step, because the .upl file in the LENA directory will be deleted in Step 4.3. The copy you make here will be your only copy (except for your backup).

These steps create a temporary copy of the .upl file that you'll be working with (plus an extra "just in case").

3.1. In Windows Explorer, navigate to the folder where processed LENA data are stored - LENA\storage\childdata.

The default location for the LENA data is "C:\ProgramData\LENA"

If you do not see the ProgramData folder, you may need to adjust your computer's settings to show hidden folder and files.  Also, if you do not see this folder, chances are you haven't been backing up your data.  Do that first.

If the LENA data are not in the Program Data folder, your data storage location may have been customized during installation of LENA.  Navigate to that location, use Explorer to search, or return to the LENA application and check the Settings screen/Storage tab for more information.

3.2. Search by Child Key or Filename to locate the .upl files to be reprocessed.

In this example, we searched by Child Key, because we want all .upl files for this child.

If you cannot locate the .upl files, you may have used the "Move audio" feature, or you may have deleted this child's audio.  Return to the LENA application and check the Settings screen/Storage tab for more information on the location of this child's recording files.  If the audio has been deleted, reprocessing is not possible.

Search by Child Key or Filename to locate the .upl files to be reprocessed.

3.3. Open the folder, and copy the desired .upl files.

Sorting by type makes it easier to select the .upl files.

Don't worry about the derived files (.its, ,chz, .trz).

3.4. Paste the copied .upl files to the desktop.

  1. Paste directly onto the desktop.
  2. Paste into a new "Reprocess" folder named according to the date, the child's name/ID, or other information that clarifies the contents.

This gives you a working copy and a backup.

4. Safely remove the file(s) from LENA.

The audio and erroneous derived data are removed without disturbing the child record or any files processed after birth date correction.

4.1. In Client Manager, add a temporary fake child.

Name the child "TEMP 000" to make the next steps easier.

Birth date and gender can be anything - the child is just a temporary holding area for the data and will be deleted.

4.2. In LENA Reports: Report List, reassign the file(s) that need to be reprocessed to TEMP 000.

  1. Right-click on the report row.
  2. Choose Reassign this Recording to...
  3. Select TEMP 000 from the list.  With the last name 000, it should be at the top.
  4. Click OK.
  5. Click Yes to reassign.

Repeat for any remaining files to be reprocessed.

Ignore the warning about the age difference.

In LENA Reports: Report List, reassign the file(s) that need to be reprocessed to TEMP 000.

4.3. In Client Manager, delete TEMP 000.

  1. Highlight TEMP 000.
  2. Click Delete.
  3. Click Yes to continue.

Now any improperly processed .upl is gone, but the correct Child, correct birth date, any properly processed files are still there, and you still have the UPL on your desktop.

In Client Manager, delete TEMP 000.

4.4. Close LENA.

5. Force reprocessing.

Copy the file(s) into LENA\storage\audioxfer, the location in the LENA data directory where LENA picks up files for processing.

5.1. Copy the .upl files from the desktop.

5.3. Launch LENA.

Launch LENA.

5.4. LENA begins processing the files.

The corrected birth date is applied to determine the child's age at the beginning of the recording.

6. Complete final clean-up.

6.1. Wait for the file(s) to finish processing.

6.2. Check the LENA Reports to verify that everything looks as expected.

6.3. Delete the "Reprocess" folder and the loose .upl file(s) from the desktop.
